Required Qualifications
Education
- High School Diploma or equivalent (required)
Experience
- Minimum of five (5) years of broad, demonstrated experience in aircrew scheduling operations within a USAF or DoD flying squadron environment
Security Clearance
- Active DoD SECRET clearance with a minimum Tier 3 Security Investigation and current enrollment in Continuous Vetting
Systems Proficiency
- Demonstrated proficiency in computer database scheduling systems, Load Tracker, AFTO 781, and the Defense Information System for Security (DISS)
Regulatory Knowledge
- Working knowledge of applicable aircraft manuals, Go-No/Go Process Guide, AMCI 90-903 (Aviation ORM Program), and Stan/Eval scheduling guidance with associated MAJCOM/Installation supplements
Adaptability
- Proven ability to operate effectively in a medium- to high-stress, rapidly changing scheduling environment; must adapt quickly to aircraft mechanical problems, medical issues, flight evaluation requirements, expiring event currencies, deployments, student training continuity, and weather conditions
Background Check
- Must consent to DataMax background checks and comply with all DAF and local rules, procedures, and standards of conduct
Key Responsibilities
The Aircrew Scheduler shall serve as the primary scheduling specialist within a MAF flying squadron, ensuring that all aircrew members maintain currency, progression standards, and mission qualification through precise, timely, and accurate schedule management.
- Coordinate with the Training Officer, Training NCO, SARM specialist, Unit Deployment Manager (UDM), and Operations Officer (DO) to arrange schedules that facilitate operations, qualification, upgrade, test, exercise, and continuation training accomplishment to meet required currency and progression standards IAW DO priorities
- Build long-range and short-range shift schedules ensuring full coverage of all aircrew, instructor, evaluator, support personnel, and supervisor positions
- Coordinate daily and weekly with senior squadron leadership; coordinate with simulator contractors as required for simulator events
- Track crewmember leave, temporary duty (TDY), scheduled medical appointments, and other scheduling commitments; de-conflict crewmember schedules and coordinate with flight leadership to ensure crew members are available to meet assigned sortie taskings
- Track daily flight, ground, and academic training requirements and accomplishments to facilitate accurate flight scheduling in support of the Operations Officer; schedule aircrew based on experience to mitigate Operational Risk Management (ORM) as detailed in AMCI 90-903; schedule IAW guidance outlined by Stan/Eval in conjunction with applicable aircraft manuals, appropriate supplements, and the Go-No/Go Process Guide; report updates to squadron leadership
- Facilitate last-minute schedule changes to ensure full coverage by working with the current Mission Commander/Operations Supervisor and the flight responsible for the shift that is not fully manned
- Publish and post scheduling data for unit long-/short-range ground/academic, flying, and simulator training event schedules on computer database systems
- Comply with Ops Group and Wing Current Operations (OSO) and Group Training (OST) locally developed guidance when building the schedule
- Perform daily updates of scheduling data to compensate for changing conditions and training completion rates
- Coordinate with OSO, OST, outside agencies, exercise participants, and higher headquarters (e.g., RED FLAG, GREEN FLAG, Mobility Guardian, Weapons School support) for reporting and to facilitate exercise and special event schedules
- Provide inputs to Wing Scheduling/Current Operations through attendance at weekly meetings for schedule coordination and de-confliction
- Produce Flight Authorizations that have cleared the Group Stan/Eval Go-No/Go process
- Update Load Tracker for the next week’s schedule according to the schedule dictated by the squadron
- Produce the weekly Flying Effectiveness Report IAW local policy and procedures, reflecting accomplishment of required training events as determined by local leadership
- Produce the Flying Hour Program Report IAW local policy and procedures, derived from AFTO 781 and other sources used to track hours expended to reflect accomplishment of assigned flying hours
- Provide the Squadron Assigned Security Manager a weekly list of DISS requirements to generate DISS letters as required for training missions
- Coordinate with Aerial Delivery, Training, Loadmaster Scheduler, and Wing Scheduling/Current Operations to ensure appropriate training loads are assigned to each line on the schedule

General Preferred Qualifications
- Prior U.S. Air Force military service or prior contractor experience within an AMC flying squadron Current Operations or scheduling shop
- Associate’s degree or higher in Aviation Management, Business Administration, or a related field
- Direct experience supporting C-17 Globemaster III, KC-10 Extender, KC-46 Pegasus, C-5M Super Galaxy, or C-130 squadrons
- Experience coordinating large-scale exercises such as RED FLAG, GREEN FLAG, Mobility Guardian, and Weapons School support
- Strong interpersonal and communication skills; proven ability to brief senior squadron leadership and coordinate across multiple functional areas simultaneously
Desired Skills — Operations Training Support
- Experience updating data in the Graduate Training Integration Management System (GTIMS) or future equivalent systems, and locally developed computer database systems
- Proficiency interfacing with Host Aviation Resource Management (HARM) and Squadron Aviation Resource Management (SARM) personnel to update the Aviation Resource Management System (ARMS) or future equivalent systems
- Ability to build, review, and update student and permanent party records, folders, and grade books per AFMAN 11-202V1, AFMAN 11-2MDSV1, associated MAJCOM/Installation supplements, and locally developed guidance
- Experience coordinating scheduling of classes and exams with external agencies (SFS/CATM, CES/Emergency Management, OSS) to ensure crewmembers are scheduled for CRM, ICRM, IRC, and all grounding or pre-deployment training requirements
- Ability to perform individual gradebook checks of squadron personnel training and ancillary training requirements on a daily, monthly, and quarterly basis
- Experience preparing and executing periodic training/testing plans in coordination with the Squadron Director of Training (DOT) Flight Chief; coordinating off-site training conferences and seminar attendance
- Ability to provide daily tracking of upgrade and continuation training accomplishments and prepare weekly summaries for the Operations Officer
- Experience generating AF Form 2096, Non-Mission Ready (NMR) letters, STRP briefings, 6-Month Training Plan Briefs, Aircrew Probation/Regression Reports, and Semi-Annual Proration Consideration Reports
Desired Skills — Standardization/Evaluation (Stan/Eval) Support
- Experience maintaining flight testing materials and ensuring currency and accuracy
- Proficiency updating data in GTIMS and maintaining paper or digital aircrew records, including annual reviews, in-processing, and out-processing of squadron members
- Ability to interface with HARM/SARM personnel to update ARMS or future equivalent systems
- Experience reviewing and updating student/permanent party records, folders, and grade books per AFMAN 11-202V2 and AFMAN 11-2MDS-V2 with associated MAJCOM/Installation supplements
- Ability to notify crewmembers, scheduling, and unit leadership of upcoming and overdue testing, evaluation, and training requirements via e-mail, telephone, or in person
- Experience generating Squadron Check Ride Status Reports; evaluation and testing status/trend data; GTIMS shells for AF Form 8 (Certification of Aircrew Qualification); data for monthly STRP and Squadron Certification Boards; and Aircrew Qualification Level Summaries (Letter of Xs)
- Experience conducting monthly reviews of assigned/attached crewmember evaluation dates and providing updates on completion progress
- Ability to update the squadron Electronic Flight Bag (EFB) program with every new publication release and Flight Crew Information File (FCIF) release
Desired Skills — Administrative Support
- Experience assisting flight commanders in providing data to the Commander’s Support Staff in support of task management, fitness, safety, security, supply, and manning programs
- Ability to prepare, maintain, and disposition administrative reports and correspondence on behalf of flight leadership
- Experience acting as a point of contact for newly assigned aircrew—orienting them on organizational functions, introducing key personnel, and scheduling initial training/orientation requirements
- Familiarity with coordinating pre-departure training with deploying personnel through the Unit Deployment Manager (UDM)
- Knowledge of the DoD Foreign Clearance Guide, AFI 10-403, and AFI 33-332 as they pertain to maintaining mobility/training folders and deployment documentation
- Experience providing pre-deployment and post-deployment mobility, logistics, security, ancillary training, medical, and dental requirements to the UDM
- Familiarity with the Defense Readiness Reporting System (DRRS) and the Air Expeditionary Force Reporting Tool (ART), including Unit Type Code posturing and individual status updates
Desired Skills — Electronic Flight Bag (EFB) Support
- Hands-on experience performing set-up, maintenance, and restoration on EFB devices, including device activation, password resets, device/application unlocks, and initiating lost mode/device retrieval
- Proficiency performing set-up, maintenance, and restoration functions on End User Stand Alone (EUSA) devices IAW Mobile Device Management (MDM) provider requirements and configuration profiles provided by HQ AMC EFB Program Office
- Experience initiating EUSA device operating system updates as approved by DISA and configuration profiles provided by HQ AMC EFB Program Office
- Ability to review audit logs for unauthorized access and/or configuration changes on EFB and EUSA devices
